The Office Assistant reports to the Program Manager and General Manager. This employee will support arena programming and outreach to First Nations villages within the Upper Skeena. They will provide customer reception, general administrative support, and perform some custodial work. The successful candidate will undergo training in various facility operations, including janitorial functions, office support, and community programming. Additionally, they will work with the Program Manager on community-focused recreational programs and special events within the Recreation Department.

The following certifications are required:

  • Valid Class 5 BC Driver’s License
  • Completion of Grade 12 education and post-secondary education in Office Administration, or an equivalent combination of education, experience and knowledge
  • Criminal Record Check

Required Knowledge and Ability

Knowledge of:

  • Computer systems and Microsoft Office software
  • Computer skills sufficient to obtain information from the registration system and familiar with word processing, database, spreadsheet, and communications applications.

Ability to:

  • Perform duties in office and outdoor settings, including heavy lifting and bending
  • Interact with the public while maintaining tact, impartiality, and confidentiality
  • Demonstrate effective communication, presentation, leadership, and interpersonal skills
  • Operate with urgency and flexibility to meet formal deadlines
  • Learn through oral instruction and observation
  • Interpret and follow policies and procedures accurately
  • Handle public inquiries with tact and courtesy
  • Prioritize tasks, anticipate facility needs, and multitask effectively
  • Maintain accurate records and follow safety regulations
  • Work well in both team and independent settings
  • Maintain positive relationships with government agencies, cities, personnel, staff, and elected officials
  • Handle cash, cheques and credit card payments

Essential functions:

  • Provide leadership and direction to volunteers regarding day-to-day work, training, development, motivation, discipline, and termination to ensure the best use of resources.
  • Assist in preparing brochures, bulletins, press releases, program schedules, inventories, requisitions, and maintaining adequate program equipment and supplies.
  • Inform the Program Manager of incidents and developments of an operational or political nature related to the company’s recreational interests.
  • Schedule facilities and equipment, process booking requests, input information into a booking program, and generate contracts and reports.
  • Perform janitorial duties and routine building maintenance.
  • Provide telephone reception for the Main Office, answer and forward all incoming calls, provide information, and take and relay messages.
  • Assist with set up and take down for community events at the facilities and provide assistance with company special events and projects as required.
  • Assist in supporting a successful Volunteer Program.
  • Perform other job-related duties as assigned to maintain a functional recreation center.
  • Maintain dress code and attire provided by Recreation Excellence at all times.

Wage to be determined based on experience and certifications. Employment includes a facility membership and opportunities for additional training and education. The successful candidates must be a minimum of 15 years of age and will require a Criminal Record Check and Working with Vulnerable Persons search prior to commencing work. They must maintain a clean Criminal Record to remain on staff.
